Keypad Systems Use Personal Entry Codes

A keypad system requires each authorized person to enter a numeric code at the door. The system compares that code with its approved records, then releases the lock when it finds a match. You don’t have to distribute physical credentials, so there’s nothing for employees to lose or leave at home.


Code sharing creates the main security concern. Individual codes reduce that risk because you can trace entry activity to one employee and cancel that person’s access without changing everyone else’s credentials.


Proximity Cards Send Credential Data

Another common access control system is a proximity card. The simple explanation of how proximity cards work is that the card sends stored credential data to a nearby reader through radio frequency. The reader compares that information with the records in the access system before unlocking the door.


Employees only need to hold the card near the reader, which keeps entry moving without inserting or swiping anything. When someone loses a card, an administrator can deactivate its credential so no one else can use it.


Smartphone Systems Verify Mobile Credentials

A smartphone system turns an employee’s mobile device into an access credential. Depending on the setup, the reader connects with the phone through Bluetooth or near-field communication. The access platform then verifies the encrypted credential assigned to that user.


Administrators can cancel mobile access without collecting a card or replacing door hardware. They can also send temporary credentials to approved visitors before arrival. Employees do need charged devices and compatible phones, so your company should have another entry method available when a device fails.


Biometric Systems Scan Physical Traits

Biometric systems identify a person through a physical characteristic, such as a fingerprint. The reader scans the employee and converts the result into data that it compares with a stored template. The door unlocks only when the two records match.


This system limits credential sharing because an employee can’t hand a fingerprint to someone else. Privacy requires closer planning, though. Your company may need written consent before collecting biometric information, along with policies that explain how long you retain it and when you delete it.


Cloud-Based Systems Manage Permissions Online

A cloud-based system stores access permissions through an online platform instead of relying on a server kept at your property. Authorized administrators sign in through a secure dashboard to grant entry or cancel a credential. They can handle those updates from another location without visiting the building.


This setup gives companies with several properties one place to manage connected doors. Internet service affects remote administration, although many systems keep processing previously approved credentials through local hardware during an outage.
